User Guide For The Google  Recording Folder

 

In this user guide the tutorial will be in a FAQ (Frequently Asked Questions) format. If you do not have an authorized access, please contact your account manager or email [email protected]

 

Google folder name:  This will be provided to your by your account manager

 

Q 1: How do you locate the recording by date and time?

 

Answer: If you go into the Google folder (name shown above) folder, you will see several folders separated by years. i.e.: 2018, 2019. After clicking on the desired year, you will see additional folders that contain numbers that correspond to the month. An example of this is the number 07 for July. After clicking on the month you are looking for, you will see additional folders that are separated by dates.  After clicking on the desired folder, you will see all the recordings of that particular day there. So to reiterate, say you want to find the recordings for March 13, 2019, First, you need to click on the folder labeled 2019, then, you need to click on the folder labeled 03 because 03 indicates the month of March. Finally, you need to find the folder labeled 13 to correspond with the date. 

 

Q 2: How do you locate the recording of incoming and or outgoing calls?

 

Answer: Once you enter a specific folder, you will see audio files there. Every file has a  unique name. The file is specifically labeled with an “in” to indicate an incoming call and “out” to indicate an outgoing call. 

 



 

Q 3: How do you locate a recording?

 

Answer: You need to know the date and time of the call.

 

Let’s use a sample recording.

(IMPORTANT: Please be aware that the file name is different for incoming and outgoing calls). The following example is for incoming calls that involve a school receiving a call. An outgoing call is described later on.

The file’s name is: in-6315095600-16315794222-20190311-152414-1552332254.59291

 

in stands for incoming calls.

 

6315095600 indicates the number that was dialed from outside the company. This number is usually the company’s number. In some cases a company may have multiple numbers. For example for a school, math department may have a different number vs the English department. The company’s phone number will follow the “in” indicator. 

 

16315794222 indicates the caller’s phone number. The caller’s number will always be next to the company’s number phone number if it is an inbound call.

 

20190311 : The first four digits indicate the year, the next two digits indicate the month and the last two digits indicate the day. 20190311 signifies March 11, 2019.

 

152414 : The first two digits indicate the hours, the next two digits indicate the minutes and the last two digits indicate seconds. The numbers, 152414 signifies 15 hours, 24 minutes and 14 seconds or 03:24:14 PM. Furthermore it is important to note that this time refers to the starting time of the conversation.

 

1552332254.59291 : This is a unique ID number for the call. If we want to trace the call, this ID is all we need. For example if the principal wants to know more information about this call, we will need the numbers, 1552061208.50678 to locate the call.

 

Now, here is the example of an outbound call that involves a teacher calling a parent. Look at the image below.

 

The file’s name is: out-16313941257-1003-20190318-092613-1552915573.79740

 

out stands for outbound calls. 

 

16313941257 indicates the number dialed out from the company. For example, a teacher in math department dialed a parent number “16313941257”. The caller’s phone number will always be next to the ‘out’ if it is an outgoing call.

 

1003 indicates the extension number of the caller; which in this case is the example teacher. This number will always be next to the number that was dialed if it is an outgoing call.

 

20190318 : The first four digits indicate the year, the next two digits indicate the month and the last two digits indicate the day. 20190318 signifies March 18, 2019.

 

092613 : The first two digits indicate the hours, the next two digits indicate the minutes and the last two digits indicate seconds. The number; 092613 signifies 09 hours, 26 minutes and 13 seconds or 09:26:13 AM. Furthermore, it is important to note that this time refers to the starting time of the conversation.

 

1552915573.79740: This is a unique ID number for the call. If we want to trace the call, this ID is all we need. For example, if the principal wants to know more information about this call, we will need the numbers, 1552061208.50678 to locate the call.
